Changes to DBS Process

4 February 2025

The FA have changed the way Clubs add DBS to individuals

Step 1:

This process now needs to be completed through the Club portal by the club admin - Adding a DBS Applicant in the Club Portal - Initiating a DBS check : Grassroots Technology

Step 2:

Once the club admin has added the DBS tab to the FAN, the individual needs to carry out the below process:

  • Log on to the Whole Game System https://wholegame.thefa.com
  • Scroll down to 'My DBS tab' (left hand side)
  • Click green 'Select' button next to the club name.
  • You should then receive an email (check spam) to start the process, once the application has been completed you need to contact the Welfare officer to meet with them to verify the DBS face to face.

Troubleshooting: Reasons why the coach cannot start the process:

  • More than one FAN – contact your county FA Safeguarding Administrator with the coaches name, DOB, email and address so they can check and if need be merge the FANs.
  • No email on the FAN – contact your county FA Safeguarding Administrator to add if you cannot add this on their FAN on the club portal
  • Not attached to your club on the club portal
